Automation and Portals for Accounting, Legal and Consulting Firms
A firm's product is judgement, but its calendar fills with chasing documents. Software should do the chasing.
In an accounting, legal or consulting firm, the billable product is judgement — yet the hours drain into everything around it: chasing client documents, retyping data between tools, assembling the same letters, onboarding each client by hand. Every one of those hours has a rate card value, which makes this the rare industry where automation ROI can be computed to the euro before a line of code is written.
What usually goes wrong
Client documents arrive by email, WhatsApp and paper; assembling a complete file means chasing, and chasing means senior time on junior work.
The same client data is typed into the practice tool, the letter, the invoice and the declaration — four chances to make one error.
Onboarding a new client takes weeks of back-and-forth that a checklist and a portal would do in days, the pattern from our client onboarding automation work.
Standard documents — engagement letters, recurring declarations — are assembled by hand from the last client's version, with the last client's name occasionally surviving.
What we build
A client portal: secure document deposit with automatic reminders, a live checklist per file, and clients who can see status without calling — built as a custom application around your process.
Document processing with AI: invoices, receipts and statements read, classified and entered into your practice software, with a human validating instead of typing.
Workflow automation: recurring engagements scheduled, standard documents generated from templates and live data, deadlines tracked with escalation.
Where it earns its keep, an AI assistant grounded in your own knowledge base — internal first, answering the questions your juniors ask your seniors.
What it costs
A client portal typically lands between $4,000 and $12,000; document automation moves with your volumes. The arithmetic to run first: hours per week of chasing and retyping, times the rate card. Configure your case in the cost estimator or start with a free audit of one process.
Our data is sensitive. How does AI processing stay confidential?
Three layers, all contractual and technical: your data is processed through business API agreements that exclude training on it; documents stay in storage you control; and the system logs every access. For the most sensitive categories we scope what never leaves your infrastructure at all. You review this design before anything is built.
Can you integrate with our practice management software?
Usually yes — most practice tools expose an API or at minimum structured import and export, and the automation is built around what exists. Where a tool is genuinely closed, we automate up to its doorstep and hand it clean, validated data. The audit tells you which case you are in before you spend.
Where should a firm start?
With the one process that hurts most per week — usually document collection or client onboarding. Automate it, measure the hours recovered against the rate card, and let that number decide the next step. Firms that start with one measured win build momentum; firms that start with a grand digitalisation plan build slideware.
